MASTER CHECKLIST — Charity & Corporate Golf Tournament

PHASE 1: Pre-Event Planning (6–12 Months Before)

Goal: Lock in the venue, secure sponsors, and start registrations.

1. Secure Your Course & Date

  • Call courses early — spring and fall weekends book fast.

  • Negotiate:

    • Complimentary foursomes for sponsors.

    • Use of banquet room for awards.

    • Carts, range balls, and scorecards included.

2. Form Your Committee

  • Roles:

    • Sponsorship Lead – sells packages & handles sponsor relations.

    • Golfer Recruitment Lead – fills the field.

    • Logistics Lead – coordinates course, contests, vendors.

    • Auction/Raffle Lead – gathers prizes.

    • Marketing Lead – oversees promotion & social media.

3. Build Sponsorship Packages

  • Platinum: $5,000+ (banner, hole signage, dinner recognition, 2 foursomes).

  • Gold: $2,500 (hole signage, 1 foursome).

  • Silver: $1,000 (hole signage, program listing).

  • Add specialty options: beverage cart sponsor, hole-in-one sponsor, lunch sponsor.

4. Launch Event Website & Registration

  • We recommend BirdEase - other options: Golf Genius, Event Caddy, BlueGolf) for registration & payment.

  • Include:

    • Tournament story & beneficiary.

    • Schedule & format (scramble is most common).

    • Sponsorship tiers.

    • Online payment option.


PHASE 2: Marketing & Recruitment (4–6 Months Before)

Goal: Fill the course & sell sponsorships.

1. Email Campaign

  • Send “Save the Date” → “Registration Now Open” → “Last Chance to Register.”

  • Include sponsor logos in every send.

2. Social Media Push

  • Countdown posts with golfer photos, prizes, and sponsor spotlights.

  • Tag sponsors to boost reach.

3. Local Press & Networking

  • Submit event to local newspapers, radio, chamber of commerce.

  • Ask board members & sponsors to promote via their networks.

4. Incentives

  • Early-bird discounts.

  • Referral prizes for teams who bring another foursome.


PHASE 3: Day-of Event Execution

Goal: Deliver a smooth, memorable day.

  • Hole contests: Longest Drive, Closest-to-Pin, Straightest Drive.

  • Beat the Pro challenge.

  • Food/beverage stations (partner with local breweries or BBQ joints).

3. Photography & Video

  • Volunteer or pro photographer.

  • Drone shots at signature holes.

  • Group photos for post-event sharing.

4. Awards Banquet


PHASE 4: Post-Event Follow-Up (Within 1–2 Weeks)

Goal: Retain sponsors and golfers for next year.

1. Thank You Campaign

  • Email recap with photos, fundraising total, and impact statement.

  • Tag and thank sponsors on social media.

2. Sponsor Reports

  • Send sponsor-specific ROI summary (photos of signage, mentions, media reach).

3. Early Re-Booking

  • Offer “Next Year’s Spot” at a discount to current sponsors & golfers.


BONUS: Fundraising Boosters

  • Putting Contest: $5 entry, winner gets prize.

  • 50/50 Raffle: Half to winner, half to charity.

  • String Game: Buy a 3–6 foot string to move ball closer to hole.
